Guidelines & Policies

General Business Policy

Flexible Scheduling to Meet Your Needs

We understand that every hospital and clinic has unique scheduling requirements. To provide you with the most convenient service possible, we offer flexible scheduling options and have created an easy-to-use online calendar available for bookings up to 60 days in advance.

If you require immediate or last-minute coverage, don’t hesitate to call us directly. We’ll do our best to accommodate your needs and fill the shifts.

To ensure fairness, each clinic is limited to scheduling a maximum of two shifts per week, allowing other clinics the opportunity to book as well. Scheduling is on a first-come, first-served basis, and once two shifts are booked for a clinic in a given week, the remaining slots will no longer be available.

Once you schedule a shift, you’ll receive a confirmation email, and all communication regarding scheduling will be documented via email for your convenience.

Cancellation Policy
If you need to cancel a scheduled service, you can do so anytime using the link in your confirmation email. However, please note that cancellations made less than two weeks in advance will incur a cancellation fee equal to 50% of the agreed shift pay.

Our services are available within a 10-mile radius of our office. You can use Google Maps to confirm if your clinic is within our travel area.

Wages

Our general policy is to be paid by the shift or hourly rate that is agreed upon.  Most lunches are 1 hour and unpaid unless circumstances don’t allow for one, clinics will be charged an 30min increment rate of overtime.  In addition, after-hour overtimes is charged when it takes extra time to complete medical records at the end of the shift.  We understand that our type of work is unpredictable and we try our best to keep up with writing medical records as we see each cases.  We will not charge after-hour overtime when work is completed within a reasonable time frame (15-30min after last appointment).  However, hourly overtime will take affect 30mintues after the contracted relief time.  For example: if shift was scheduled as 8am-5pm (1 hr unpaid lunch) and overtime was 5pm-7pm, you will be charged 1.5hrs of overtime on agreed upon 30min increment rate.

We only offer weekend shifts as case-by-case and can only be scheduled Dr. Miyamoto. There is additional dayshift charge for weekend shifts.

At the start of each calendar year or upon onboarding a new client, we will provide an estimate via QuickBooks outlining hourly rates, weekend shift charges, overtime fees, and travel costs. This estimate will serve as both a record and a basis for finalizing our negotiated pricing. Please review the estimate carefully and accept it only when you are ready to confirm the agreed-upon terms.
